This Privacy Policy for Honolulu Tech Week LLC ("HTW," "we," "our," or "us") explains how we collect, use, and protect information when you visit our website, register for communications or events, or engage with us.

HTW is a week of inspiring events hosted annually by leaders from across Hawaii and the global tech ecosystem. Our mission is to accelerate the growth of tech talent, capital, and adoption across Hawaii. HTW's role is to market and promote the week by providing a platform to elevate the broader tech ecosystem and its participants, managing the official calendar, and producing related media efforts. Events during the week are hosted by individual companies and organizations, each assuming liability for their own events. Throughout the year, before and after the week, HTW communicates with those who register for communications or events.

By using our site, registering for communications or events, or engaging with us, you agree to the practices described below.

1. What information do we collect?

We collect information needed to communicate effectively, operate, generate analytics, and improve the overall HTW experience.

Information you disclose to us:

  • Name and contact information (e.g. email address)
  • Professional details (e.g. industry, company)
  • Information submitted through registration or interest forms (e.g. location, topics of interest)
  • Information about companies or events submitted by partners (e.g. sponsor information)
  • Any additional details you voluntarily share with us

Information collected automatically:

  • Website analytics, cookies, or technologies used to understand traffic and site performance e.g. Google Analytics
  • Data submitted via third-party event registration systems e.g. Luma
  • Payment data and associated contact and billing information for tickets, other offerings, sponsor payments, vendors, etc, that are processed via third-party providers e.g. Stripe

2. How do we process your information?

We use the information we collect to:

  • Manage communications, marketing, and email
  • Manage registration, attendance, and event communication
  • Generate analytics, insights, and HTW reporting
  • Improve our programs and digital experience
  • Coordinate with event hosts and partners
  • Fulfill legal and business obligations

We purposefully limit the amount of data we collect and process, with the goal of providing the best service possible while minimizing data collection.

3. When and how do you share data?

We may share limited information only:

  • With trusted vendors who process data on our behalf, such as email service providers and payment providers e.g. Stripe, Google.
  • With event hosts only for the specific event a participant registered for.
  • When required by law or to protect the rights, property, or safety of HTW or others.

We use third-party services with strong track records of data privacy and security. Each third-party service is expected to handle data responsibly and in accordance with its own privacy policy.

4. How do we use cookies?

We use Google Analytics and similar tools to understand how visitors interact with our website. These tools may collect non-identifying data through cookies. Cookies are solely saved on the computer you use while visiting our service; they are not stored on our systems. You can disable cookies through your browser settings.

We currently do not use cookies for advertising purposes or to sell behavioral data.

5. How do you use data for advertising and remarketing?

In the future, we may use limited advertising or tracking tools, such as Meta Pixel or LinkedIn Insight Tag, to measure how visitors engage with our website and campaigns. These tools may use cookies or similar technologies to recognize returning visitors. We do not use them to sell data or track individuals across unrelated websites. You can manage or delete cookies at any time through your browser settings.

6. How do you process payments data?

If you make a payment to Honolulu Tech Week LLC, for example, to purchase event tickets or sponsorship packages, those transactions are handled securely through third-party platforms and payment processors. HTW does not store or have access to credit-card numbers or bank information. We retain only basic billing details for accounting and recordkeeping purposes.

7. How do you retain and store data?

We retain attendee and partner data as long as reasonably necessary for recordkeeping, analytics, and historical event management. All data is stored securely within our authorized accounts and cloud service providers.

8. How do I unsubscribe or delete my data?

You may unsubscribe from HTW emails at any time using the 'Unsubscribe' link in our communications, or by contacting us at aloha@honolulutechweek.com. We do not currently offer automated data access or deletion tools but will handle inquiries manually as resources permit.

9. How do you handle data security?

The security of your data is important to us. We purposefully limit the amount of data we collect, and we take reasonable measures to protect information from unauthorized access or misuse, including secure systems, password controls, and limited administrative access. However, no method of transmission or storage is completely secure, and HTW cannot guarantee absolute security or accept liability for breaches beyond its reasonable control.

10. Do we collect information from individuals under 18?

HTW events and website are intended for individuals aged 18 and older. HTW does not knowingly market or solicit to individuals under 18 years of age.

In limited cases, such as programming applicable to students (e.g., hackathons, college or scholarship opportunities), and at the discretion of the event hosts who assume liability for the organization of their respective events and marketing, participants aged 13–17 may attend. In those cases, a parent or guardian must register the participant, provide consent, and accompany them. Any information about such participants is collected only with that consent.

HTW does not knowingly collect personal information from anyone under 13 years of age. If such information is identified, it will be deleted. All youth participation must comply with applicable laws and event policies.

11. What is your policy on international and state-specific rights?

HTW is based in the United States, and its events and services are intended primarily for U.S. audiences. We do not specifically market to or target individuals in the European Union, European Economic Area, or other jurisdictions with comprehensive data-protection laws.

California residents may have additional rights regarding their personal information under applicable state law. Requests or inquiries related to those rights can be sent to aloha@honolulutechweek.com.

12. How do we make updates to our Privacy Policy?

We may update this Privacy Policy periodically. The latest version will always be posted on our website with an updated "Effective Date." Continuing to use our site, systems, or attend our events after changes are posted indicates your acceptance of those changes.
